Plan around the flow of your event
An arrival rush needs different attention from a quiet setup period or the last guests leaving. Describe the event from vendor access through closing, including any changes in how entrances and shared spaces will be used.
- Guest arrival: expected attendance, arrival windows, and invitation or ticket arrangements.
- Venue access: guest entrances, vendor doors, and areas reserved for staff.
- Coordination: the organizer, venue contact, and agreed way to raise a concern.
Separate the roles before the event
List which responsibilities belong to the venue, the event organizer, and a proposed security team. Guest-list decisions, ticket scanning, alcohol service, and parking arrangements should be discussed individually so the security brief does not assume responsibilities that have not been agreed.
- Share the venue’s written requirements and any rules for contractors.
- Note whether the event shares entrances or parking with another activity.
- Explain the desired guest experience alongside the areas that need attention.

Event security questions
How many security guards does an event need?
There is no headcount that fits every event. Attendance is one input; the number of entrances, layout, simultaneous activities, duties, and coverage hours also matter. The staffing plan needs to be agreed for the particular event.
Can I plan security for a wedding or private event?
A wedding or private gathering can be described in the event coverage brief. Include the venue’s requirements, guest count, date, and hours. The brief is a starting point; service suitability and availability still need confirmation.
What should I prepare before discussing event security?
Prepare the venue address, event schedule, expected attendance, access points, and the organizer’s priorities. The 5 Rivers planner lets you organize and copy these details for review.
